iPad Mail Setup

This guide will walk you through the steps to setup your IMAP email account on an Apple iPad. These instructions were based on iOS 18. If you are using a previous version of iOS installed on your device, the steps and screenshots may be slightly different. We recommend running the latest version of iOS on your device, which ensures you have the latest features and most recent security updates.

1. On the home screen, open the Settings app

2. Go to the Mail settings using one of these methods…

  • Scroll down and select Apps and then scroll down and select Mail; or
  • Use the Search box at the top, type in Mail and select the Mail App.
3. Select Mail Accounts

4. Select Add Account

5. Select Other at the bottom of the list of options

6. Select Add Mail Account

7. Enter the your basic account information…

  • Name — Enter your first and last name
  • Email — Enter your email address
  • Password — Enter your account password
  • Description — Enter anything you would like so you can identify this account if you have more than one

and then select Next

8. On the next page, you will need to enter more details for your account…

  • IMAP — At the top, make sure IMAP is selected
  • Name — Should already be set from previous step
  • Email — Should already be set from previous step
  • Description — Should already be set from previous step
  • Incoming Mail Server section:
    • Host Name — Enter secure.emailsrvr.com
    • User Name — Enter your email address
    • Password — Should already be set from earlier
  • Outgoing Mail Server section:
    • Host Name — Enter secure.emailsrvr.com
    • User Name — Enter your email address
    • Password — Enter the same account password as before

Once this information is entered you should press the Next button

Please note the incoming and outgoing mail servers both need to be set, and the host name to be used contains the words “email server” without the “e” characters in the word “server”.
Although some of these fields say they are optional, they are actually required and you will not be able to use your email account if you do not fill them out correctly.
9. Make sure Mail option is enabled, and unselect the Notes option unless needed, and pressed Save

The Notes option is not related to Apple’s Notes application, and for most users we recommend unselecting it. Enabling it will allow you to store notes in your mail applications, but these will remain separate and unrelated to any notes in the Apple Notes application.
After pressing Done, Apple Mail should be setup to send and receive email for your new email account. However, in order to keep your email across all-devices in-sync and stored on the server, we need just a few more steps to tell Apple Mail where it should keep all emails.
10. Still within the Mail settings page, select the account that you just added

11. Select Account Settings

12. Select Advanced at the bottom

13. Under MAILBOX BEHAVIORS you can now set where all of your emails will be kept

  • Drafts Mailbox — set it to Drafts in the ON THE SERVER section
  • Sent Mailbox — set it to Sent in the ON THE SERVER section
  • Deleted Mailbox — set it to Trash in the ON THE SERVER section
  • Archive Mailbox — set it to Archive in the ON THE SERVER section
If you do not use the Archive feature of your email applications you may not have an “Archive” folder setup on the server, and you can skip the setting of the Archive Mailbox. If you use this feature in the future, you will want to return to this settings page to specify the folder once you’ve created it.

For each folder, when you click on it you will be able to select the correct location.

14. Make sure under MOVE DISCARDED MESSAGES INTO: is set to Deleted Mailbox

15. You can now click Back and then Done
You can go back to the home screen and launch the Mail app. It may take a few minutes for your emails to sync.
